Maintaining Activity, Process And Operation Information
This section describes how to maintain activities, processes and operation information. A Job can be broken down into smaller tasks, and those tasks can be broken down even further. In Dynamics-BC these levels of tasks are defined as follows:
- Activities – Activities are tasks in a Job. For example, if you are building a house, Activity 1 could be planning the house, Activity 2 could be laying the foundation, and Activity 3 could be framing the house.
- Processes – Processes are tasks in an activity. Activity 1 (the planning phase) could have Process 1 as drawing the blueprints and Process 2 as surveying the land.
- Operations – Operations are tasks in a process. Process 2 (surveying the land) could have Operation 1 as hiring surveyors, and Operation 2 as surveying.
You do not have to use all three levels for every Job. They are options to provide flexibility if you need it.
Tasks are independent of Jobs and of each other. Therefore, you can set up a task and use it for any Job and with any other task. For example, if you set up an activity called PLANNING, you can use it for any Job that involves planning. The same is true for processes. A process called WRITING THE PROPOSAL could be used with the PLANNING activity or directly under a Job. A big benefit of using these tasks is that you can compare the same tasks across several different Jobs.
Maintaining task information is offered in three different options on the Jobs menu, but all three work in exactly the same manner. These options let you add and change activity, process or operation information.
You should first decide what activities you will normally need for each Job. You can add more tasks as necessary, but carefully planning task levels will help you avoid setting up tasks on different levels that handle the same Job area. Be sure to read the section on Job budgets in “Maintaining Job Information” on page ## before setting up activities, processes, and operations.
Enter description for the task in the Description field. When you have entered all the tasks you need, close the task window.
